1. Who we are

This policy explains how Takween Therapy & Wellbeing (“Takween”, “we”, “us”, “our”) collects and uses personal information through takweentherapy.co.uk. We are the data controller for the information described below. If you have a question about this policy or your data, email [email protected].

2. Information we collect

We only collect information you choose to give us, through the forms on this site:

  • Consultation enquiry form: your name, email address, phone number (optional), preferred contact method, the service you’re interested in, your preferred consultation date/time, whether you’d like faith to be part of your support, and any message you write.
  • Workshop or organisation request form: organisation name, contact person, email, phone (optional), audience type and size, preferred date, and your session requirements.
  • Newsletter sign-up: your email address only.
  • The Takween Helper: what you type is used within your browser session to suggest a relevant service. It is not saved to our servers or added to any record.

3. Special category information

Some of what you may choose to tell us — for example, in your enquiry message, or your faith preference — can count as “special category data” under UK data protection law, because it relates to your health or wellbeing, or to your religious or philosophical beliefs. We only collect this if you choose to include it, and we treat it as confidential, sharing it only with the practitioner best placed to help you. Providing this information is always optional, and the faith-preference field explicitly lets you say “no preference” or that you’d like to discuss it first.

4. How we use your information

We use the information you submit to:

  • respond to your enquiry and arrange a free consultation or workshop;
  • match you with a suitable practitioner or service;
  • send you newsletter emails, if you’ve signed up for them (you can unsubscribe at any time by replying to any newsletter email); and
  • keep a record of enquiries so we can follow up appropriately.

We do not sell your information, and we do not use it for advertising or profiling.

5. Our legal basis for processing

We rely on your consent when you submit a form (which you give by ticking the consent checkbox on the enquiry form, or by subscribing to the newsletter), and on taking steps requested by you before arranging a service, ahead of entering into an agreement for that service. Where information you share falls under “special category data” (see section 3), we rely on your explicit consent to process it. You can withdraw consent at any time by emailing us; this won’t affect anything already done with your consent up to that point.

6. Where your information is stored

Enquiry and workshop-request submissions are stored securely in this website’s database and sent by email to our team, so we can respond to you. The website is hosted with Hostinger. Newsletter sign-ups are kept as a subscriber list on the site. We keep enquiry records for as long as reasonably needed to respond to you and maintain a record of contact — typically no longer than 24 months from your last contact with us, unless you become an ongoing client, in which case your practitioner’s own record-keeping and confidentiality practices apply.

7. Third parties

We don’t share your information with third parties for their own marketing purposes. A small number of service providers process data on our behalf, strictly to help us run the site and respond to you:

  • Hostinger — our website hosting and email-sending provider, used to store form submissions and deliver enquiry notifications.
  • Google reCAPTCHA — used only if enabled, to help prevent spam submissions on our forms. If active, Google may process technical data about your visit; see Google’s own privacy policy for details.

We do not use any analytics or advertising tracking tools on this site.

8. Cookies

This site uses only the essential cookies WordPress needs to function (for example, to remember form security tokens). We don’t set analytics or advertising cookies. If Google reCAPTCHA is enabled on our forms, Google may set its own cookies as part of verifying you’re not a robot.

9. Your rights

Under UK GDPR, you have the right to:

  • ask us what personal information we hold about you, and get a copy of it;
  • ask us to correct inaccurate information;
  • ask us to delete your information, or restrict how we use it;
  • object to our processing of your information; and
  • withdraw consent at any time, where we rely on consent.

To exercise any of these rights, email [email protected]. We’ll respond within one month. If you’re unhappy with how we’ve handled your information, you also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

10. Children’s information

Our individual therapy service is for adults aged 18 and over. Our workshop-request form may be submitted by an organisation (such as a school) on behalf of a group that includes under-18s; in that case, we expect the submitting organisation to have appropriate consent in place for sharing any personal information about the group with us.

11. Changes to this policy

We may update this policy from time to time, for example if we add a new form or change a service provider. The date at the top of this page shows when it was last updated.
